This student assistant position is a part time temporary position scheduled up to 10 hours per week contingent on budget funding. Scheduled shifts are dependent on the student assistant’s availability and the operational priorities and needs of the division and/or department.
Purpose of the position
The Student Assistant Program Coordinator coordinates timelines, deliverables, and communication across student teams (programmers, developers, 3D artists, and audio composers), faculty partners, and vendors. This position is ideal for a graduate student interested in gaining hands-on project management experience in a higher education, technology, and creative production environment. This position will report directly to the Immersive Learning Director
Duties & responsibilities
This role oversees day-to-day coordination across immersive learning content projects, working directly with the Director and student production teams.
Project Planning & Coordination
- Develop and maintain project timelines, milestones, and task assignments across multiple immersive learning initiatives
- Coordinate cross-functional student teams (programmers, developers, 3D artists, and audio composers) tasks to keep deliverables on track
- Identify potential risks, bottlenecks, or resource conflicts and proactively flag them to the Director
- Facilitate regular check-ins and status meetings with student production teams
Communication & Stakeholder Management
- Serve as a liaison between the Director, student teams, and faculty or vendor partners on project status and needs
- Prepare and distribute status updates, meeting notes, and progress reports to leadership
- Support coordination and communication with external vendors and partners as needed
Documentation & Process Improvement
- Maintain comprehensive project documentation, including timelines, task trackers, and decision logs
- Develop and refine standard operating procedures and workflows to improve team efficiency
Administrative Support
- Manage and organize Immersive Learning departmental email correspondence and shared Google Drive project files
- Assist with scheduling meetings and coordinating calendars across the Immersive Learning team
- Provide other project management and administrative support as needed for the Immersive Learning team

Qualifications
Required:
- Due to the professional level of the work a currently enrolled graduate student at UNLV
- Excellent written and verbal communication skills
- Highly organized, with the ability to manage multiple projects and competing priorities simultaneously
- Able to work independently, exercise sound judgment, and hold team members accountable to deadlines
- Discretion in handling confidential or sensitive information
- Proficiency with Google Workspace (Gmail, Drive, Docs, Sheets)
Preferred:
- Coursework or experience in project management, business administration, or a related field
- Experience coordinating creative, technical, or cross-functional teams
- Interest in higher education administration, educational technology, or immersive learning
- Familiarity with project management software (e.g., Asana, Monday.com, Trello, or Notion)
