This temporary student assistant position is a part-time position scheduled up to 20 hours per week contingent on budget funding. Scheduled shifts are dependent on the student assistant’s availability and the operational priorities and needs of the division and/or departments.
Purpose of the position
The Student Assistant Program Coordinator will support a portfolio of patent & trademark and immersive learning initiatives. This position will report to the Director of the Patent and Trademark Research Center & Business Librarian and will work within the PTRC as well as the Immersive Learning Department that includes Dreamscape Learn and the Immersive Learning Lab. The main focus of this position will be supporting the creation of the Beginners’ Idea Bridge (BIB) microcredential program, a program in development that will engage students in the idea generation, researching, prototyping and patent/trademark process. They will also provide support for the daily operations of the Patent & Trademark Resource Center and Immersive Learning assisting with outreach throughout the Libraries and campus. In addition, this position will coordinate timelines, deliverables, and communication across student teams, faculty partners, and vendors in both the PTRC and Immersive Learning. This position will also work to integrate Immersive Learning into PTRC operations and support as a place for virtual ideation and prototyping. This position is ideal for a graduate student interested in gaining hands-on project management experience in a higher education, technology, and creative production environment.
Duties & responsibilities
This role oversees day-to-day coordination across Patent & Trademark Resource Center and the Immersive Learning Department content projects, working directly with the Director of the Patent & Trademark Resource Center and Immersive Learning Initiatives Department and student production teams.
Project Planning & Coordination for PTRC and Immersive Learning Initiatives
- Design, promote, and execute programs for all students at UNLV.
- Support the coordination of engagement and outreach opportunities with the Director of the Patent & Trademark Resource Center.
- Assist with regular operations of the Patent & Trademark Resource Center.
- Develop and maintain project timelines, milestones, and task assignments across multiple Immersive Learning Initiatives
- Coordinate cross-functional student teams (programmers, developers, 3D artists, and audio composers)
- Identify potential risks, bottlenecks, or resource conflicts and proactively communicate to the Immersive Learning Initiatives team
- Coordinate regular check-ins and status meetings with student production teams
Communication & Stakeholder Management
- Communicate project status and needs to PTRC and Immersive Learning Directors
- Prepare and distribute status updates, meeting notes, and progress reports to Immersive Learning team
- Support coordination and communication with external vendors and partners as needed PTRC and Immersive Learning Department Documentation & Process Improvement
- Maintain comprehensive project documentation, including timelines, task trackers, and decision logs
- Develop and refine standard operating procedures and workflows to improve team efficiency
- Build a plan to integrate Immersive Learning into the PTRC operations to support PTRC UNLV campus community
PTRC and Immersive Learning Department Administrative Support
- Manage and organize email correspondence and shared Google Drive project files
- Assist with scheduling meetings and coordinating calendars across the team
- Provide other project management and administrative support as needed

Qualifications
Required:
- Currently enrolled graduate student at UNLV
- Excellent written and verbal communication skills
- Highly organized, with the ability to manage multiple projects and competing priorities simultaneously
- Able to work independently, exercise sound judgment, and hold team members accountable to deadlines
- Discretion in handling confidential or sensitive information
- Proficiency with Google Workspace (Gmail, Drive, Docs, Sheets)
Preferred:
- Coursework or experience in project management, business administration, or a related field
- Experience coordinating creative, technical, or cross-functional teams
- Interest in higher education administration, educational technology, or immersive learning
- Familiarity with project management software (e.g., Asana, Monday.com, Trello, or Notion)
