Programs and Exhibitions Guidelines

The Architecture Studies Library (ASL), a subject-specific library on the Maryland Campus, supports UNLV’s mission as a top-tier urban research institution by providing resources, spaces, and programs that foster instruction, research, and creative inquiry.

This page outlines eligibility requirements, space options, submission timelines, and planning responsibilities.

Programs

Eligibility

Programs must:

  • Be submitted by current UNLV faculty, staff, or students
  • Be sponsored by current UNLV School of Architecture faculty or staff
  • Be co-curricular and align with the Libraries’ mission
  • Support research, creative inquiry, or academic engagement

Student-led programs require approval from the College of Fine Arts/School of Architecture.

Some examples:

  • Interdisciplinary design exhibits
  • Capstone projects

ASL does not have dedicated program or hosting personnel. The program organizer (typically the requesting student or sponsoring faculty member) is responsible for coordinating setup, program management, and logistics in partnership with the School of Architecture.

Because of space and staffing limitations, we may not be able to accommodate all program types or technical needs. For larger-scale or complex programs, you may be advised to consider other UNLV venues better equipped for full-service program support.

Program spaces

Final placement is determined based on availability and scheduling.

1st floor program space

A spacious event on the library's first floor with tables, chairs, and tall windows.

A high-traffic, open space suitable for:

  • Receptions
  • Exhibitions
  • Networking programs

2nd floor program space

Smaller second floor library event space with white walls and carpeted floor.

A smaller, more intimate space appropriate for:

  • Critiques
  • Small-scale exhibits
  • Presentations

Scheduling

Requests are reviewed in the order received and considered based on space availability and other scheduled library programs.

All programs and exhibition must take place during hours of operation. No exceptions.

Requests are considered based on space availability and other scheduled library programs.

Programs are typically scheduled during regular operating hours. Extended hours may be considered with sufficient advance notice. Refer to the Architecture Library hours for the current schedule.

Review and approval

Requests are reviewed by:

  • Art, Architecture and Design Librarian
  • Associate Dean for Research and Education

Final approval is granted by the Dean of Libraries.

To allow time for reviewing and scheduling, requests should be submitted at least 4 weeks in advance.

Setup requirements

The program organizer must coordinate setup and takedown with the ASL operations supervisor. Setup options are indicated on the request form. If a request exceeds ASL capacity, the operations supervisor will notify the program organizer.

AV and equipment

ASL does not provide audiovisual equipment. Equipment may be reserved through Student Union and Event Services at the program organizer’s expense.

Catering, food, and drinks

Food and non-alcoholic drinks are permitted at programs. Because of the space limitations in the library, the School of Architecture may better accommodate catering setups. All expenses are the responsibility of the College of Fine Arts or School of Architecture.  

Promotion

The Libraries communications team promotes select programs, as determined by the Art, Architecture and Design Librarian in consultation with the Director of Communications.

If design support (e.g., flyers or printed materials) is requested, submissions must be made at least one month in advance to allow sufficient time for design and printing.

Co-curricular partners who create and distribute their own promotional materials must include the UNLV Libraries and ASL logos on all published materials. Official logos will be provided upon request.

All promotional materials must be submitted for review and approval prior to distribution. Email materials to university.libraries@unlv.edu.

Exhibitions

Eligibility

Exhibition requests must:

  • Be submitted by current UNLV faculty, staff, or students
  • Align with ASL’s academic and co-curricular mission by advancing research, design practice, creative inquiry, or interdisciplinary engagement within the School of Architecture and the College of Fine Arts
  • Include an artist statement and CV for review
  • Be non-interactive in format

Student-led exhibits require approval from the College of Fine Arts/School of Architecture.

Requests should be submitted at least 4 weeks in advance.

All exhibits must adhere to the University Libraries Conduct Policy. The Libraries are committed to providing a safe, well-maintained environment conducive to study and research, where all users are expected to act respectful toward the facilities, materials, and rights of others.

Exhibit spaces

Final placement is determined based on availability and scheduling.

1st floor gallery

Large gallery space on the library's first floor with high ceilings and tall windows.

2nd gloor gallery

Empty second floor library gallery space with white walls and carpeted floor.

Exhibit duration

Exhibit duration is determined by space availability and scheduled programming.

Artwork may only be removed by:

  • The artist
  • ASL staff
  • An authorized representative with written permission

If artwork is not removed at the conclusion of the exhibit, ASL staff reserves the right to remove it from the space.

Review and approval

Exhibit requests are reviewed by:

  • Art, Architecture and Design Librarian
  • Associate Dean for Research and Education

Final approval is granted by the Dean of Libraries.

Setup requirements

You must coordinate setup and takedown with the ASL operations supervisor.

Installation requirements

Only removable materials (e.g., mounting squares or removable tape) may be used. Screws, non-removable tape, or any material that may damage the walls are not permitted.

Artists are responsible for:

  • Providing ready-to-display artwork
  • Supplying mounting equipment and labels
  • Hanging and arranging artwork
  • Delivering and retrieving artwork
  • Providing an exhibition description (required)

Opening receptions

A reception may be scheduled to coincide with the exhibit opening. Requests for opening receptions will be considered based on space availability and scheduling. Opening receptions must adhere to the program guidelines above, including catering and conduct requirements.

Promotion

Artists should plan to promote their own exhibitions. While ASL may help share information, additional publicity is the responsibility of the artist.

ASL does not purchase or profit from artwork displayed temporarily. Artist contact information may be included as part of the exhibit; however, prices for artwork may not be listed.

Security and liability

The library is not responsible for lost, stolen, or damaged artwork. Artists assume all liability and are encouraged to provide their own insurance.
