Physical Processing of Books by Staff

The following procedures are for BMS Staff, processing procedures for BMS students are maintained by the student supervisor.

Writing a Call Number in a Book

Write the call number in the upper right hand corner of the title page in pencil if the book has a special location, is an added volume or copy, or is a rush item. Write the call number using the following format:

  1. Omit the |b symbol where it appears in the call number.
  2. Place each of these on a separate line:
Examples:
Call Number: DA656 |b .A43 1975
Book: 
DA (Class letters)
  656 (Class number)
  A43 (Cutter number
  1975 (Date)

Call Number: E806.255.B45 |b C6 1972
Book: 
E (Class letter)
  806.255 (Class number with decimal extension)
  B45 (Cutter number)
  C6 (Another Cutter number)
  1972 (date)

If the item is oversize, write Oversize above the call number; if architecture write Arch. above the call number; if music write Music above the call number.

Bindery books will be accompanied by a yellow bindery decision slip. To catalog a bindery book see Cataloging Bindery Procedures.

If the purchase order includes a note such as "HAVE 1983 ED. REMOVE THE 1ST ED", see the Withdrawal Procedures to withdraw book from INNOPAC.

If the item is a gift, a barcode may need to be added. Align the barcode template with the top right-hand corner of the back cover and place the barcode anywhere in the space provided, covering as little text as possible. Place a purple stamp & tape flag in the book, alerting the student workers the item needs to be property stamped and tattle-taped.

Add cataloged items to your monthly statistics sheet.

Determining Oversize Book Status

A book belongs in an oversize location if it meets the following criteria:

If the call number begins with N and the item is normal (not oversize or reference):
  1. Change the 049 code to UNLH
  2. Write Arch above the call number in the book
If the call number begins with an N, and it measures over 35 cm. high it is oversize.
  1. Change the 049 code to UNLH
  2. Change the location in INNOPAC to UNLHO
  3. Write:
  4. Arch
    Oversize
    above the call number in the book

Music Library Materials

  1. Items containing actual music (call numbers beginning with M and a number, and some call numbers beginning with MT which are mostly music) should still be referred to the music cataloger as before.
  2. If the call number begins with M, and measures over 35 cm. high it is oversize; if it measures over 30 cm. wide it is oversize.
  3. Items with call numbers beginning with ML or MT should be treated as follows:
  4. If the item is normal (not oversize or reference):
    1. Change the 049 code to UNLM
    2. Write "Music" above the call number in the book
    If the item is oversize:
    1. Change the location in INNOPAC to UNLUO
    2. Write above the call number in the book:
      Music
      Oversize

Curriculum Materials Library Materials

Leave the blue decision slip in the book and write the designated location and the call number in the top left corner of the slip for the BMS students. If there are several items in a set, transfer the p.o. to one bib record and write the call number on the blue slip. For the other items in the set, write the call number on a white slip of paper (basically the same size as the blue decision slips. Write the location and call number in the top left corner of the slip. For more information refer to the Curriculum Materials Library (CML) Cataloging procedures.

Note: 049 and the 949 will not be the same when five letter codes are used for Architecture, Music and Curriculum Materials libraries!!
