OCLC policy at present is that for an unpublished thesis or dissertation, each of the following should be entered as a separate record:
A photocopy should not be cataloged using an original or microfilm record, nor should a microfilm, fiche, etc. be cataloged using a photocopy record. Doing so creates problems for Document Delivery Services.
These same principles apply to monographs. In other words, don't use the bibliographic record for an original edition to catalog a photocopy or a microfilm reproduction, and vice versa.
All available records, of all three types, should be on screen or printed out, as call numbers, subject headings, etc. may be usefully "borrowed."
Use the appropriate record, if available. If not available, use an existing record and enter as "NEW" in OCLC. (You may prefer to fill out a cataloging workform prior to entering the new bibliographic record online into the OCLC database.)
If a record exists for a photocopy, printed in any year, it may be used for any photocopy by the same publisher. For example, a record for a 1992 UMI reprint may be used for a 1997 UMI reprint, since the date of the reprint does not alter the contents of the book or theses (nor the original publication date). However, if there is no bibliographic record on OCLC for a reprint, the item will need original cataloging.
Cataloging for a reproduction should be exactly the same as for the original item, with the following exceptions:
Fixed field
For photocopies, the fixed field of the bibliographic record should be exactly the same as for the original work, with the exception of form, which should be r.
Call number
LC shelflisting practice for photocopies is to use the call number and date of the original thesis or monograph followed by the work letter "a" (CSB No. 19, Winter, 1982).
For example: a 1980 UMI reproduction of a 1974 Ph. D. theses with the original call number of BF199.C46 1974 will bear the call number BF199.C46 1974a.
533 field (photoreproduction note)
A 533 note should be added for photocopies. Subfield a describes the type of reproduction; subfield b gives the place of publication, subfield c the name of the publisher, and subfield d the date of the reproduction. Subfield e is used to give the size and collation of the reproduction only if it differs from the original. If it is the same, do not use a subfield e in the 533 note. Follow the punctuation given in the OCLC Bibliographic Formats documentation for this note.

539 field (fixed-length data elements of reproduction note)
A 539 field should be added for reproductions. This serves as the "fixed field" for the reproduction. See OCLC Bibliographic Formats documentation for further details regarding valid subfields and their values.
Subfield a gives the date type. Subfield b is for Date 1 of the reproduction (a single date is usually all that is needed for monographs; subfield c should be used for Date 2 in the case of multiple dates). Subfield d is the three letter code for the place of publication (for the reproduction); Subfield e is for frequency -- always use n for non-serials. Subfield g is for the form of item; follow guidelines for Reproductions; r is most commonly used for a "regular print reproduction."

As of 7/2/96, local policy is to add the 539 field to all original cataloging, but to delete it before downloading the record to INNOPAC, where it will read as unintelligable in the public display. Likewise, delete any 539 field from edited member copy records before transmitting them to INNOPAC.
