Multiple Volume/Copy Item Records in INNOPAC

I. New Records Being Entered into the System (via OCLC)

Records being entered into INNOPAC via OCLC online or the OCLC Micro- Enhancer Plus will automatically generate item records and (in the case of multi-volume works) the "Library has" notes when exported provided that the proper information is included in the 949 field(s). Each desired item record must have a corresponding 949 in the bibliographic record in order for this to take place. The 949s used for the creation of item records should have indicators of zero-blank. The following subfields are used in item record 949s in the following order (use only those subfields needed):

|a Holdings code (location)

Notes: The four or five letter code for the location, in upper case. This code is mandatory for every item record to be created.

Examples:
949 0  UNLM
949 0  UNLS
949 0  UNLHR
949 0  UNLUO

Note: Five letter location codes will not transmit from OCLC to INNOPAC, therefore after exporting an updated bibliographic record from OCLC to INNOPAC, the 03 LOCATION field in the INNOPAC bibliographic record must be immediately updated to show the correct five letter location code.

|p Barcode

Notes: Omit spaces found in the printed barcode strip.

Example: 949 0  UNLO |p 31147003146652

|v Volume/part designator

Notes: Omit spaces after periods in abbreviations (such as v., pt., no., etc.). If an item needs more than one volume/part designator ("part 2, number 6") leave a space between the designators as follows:

pt.2 no.6

Note that a part designator can be a volume number, a part number, even a year, in English as well as in foreign languages. If the item record is for an analytic record (i.e., a record for a part of a larger set or serial) and the 090 call number already contains a volume or part designator, do not add this information again in a |v.

|k Copy number

Notes: Copy numbers greater than one should be included. Do not include "c." as this is automatically added by the INNOPAC system when the record is displayed.

|g Holdings

Input the |g in the first 949 in a multi-volume record. Add a |g even if the set is complete. The "Library has" note will be generated automatically. Input in |g the information which would follow the words "Library has". Hyphenate consecutive runs of volumes, parts, etc. (Example: v. 1-5); separate non-consecutive numbers with comma space (Example: v. 1, 3, 4); if a volume is divided into parts list the volume separately even if part of a consecutive run and show the parts in parentheses after the volume number (Example: v. 1, 3-4, 5 (pt. 1- 2, 4), 6); use any combination of these necessary).

If a record is the cover record for a set being analyzed, create only one item record for the cover record (i.e., input only one 949), with holdings code and holdings statement only (do not add barcodes or individual volume item numbers -- these will go in the analytic records).

|i Item-specific call number

Notes: This is used when the bib record call number (050 or 090) will not work for the individual item record(s). For example, if the call number for a set is:

M2.S235 vol. 6-12
the item record for volume seven would display as
M2.S235 vol. 6-12 v.7
Therefore, the item is given a call number of
M2.S235 v.7

This information is placed in subfield i. Use the same spacing as the bib call number (050 or 090) would create in the public display if no item-specific call number were present.

Note that the actual volume number should go in subfield i, not in a subfield v, which is not used. Use the same spacing for the volume number as for a subfield v above (i.e., no space within abbreviations, one space between successive parts designators).

|m Message

Notes: Text in this field interfaces into the "MESSAGE" field of an item record. Such text will display whenever a checkin or checkout operation is performed on the item and requires acknowledgement before proceeding.

|s Status

Notes: A status of "o" generates the message "LIB USE ONLY" when interfaced into the "STATUS" field of an item record. Other codes may be defined and used when needed.

|t Item type

Notes: This subfield contains a three-digit numerical code which interfaces to the "I TYPE" field of the item record. The default value for books, scores, etc. is "000" and does not need to be added. Other codes, such as "005" for "Noncirculating collection," would be added here.

|w Internal notes about cataloging

Notes: This subfield is for recording information used by BMS staff about the cataloging of an item or set, but not for display to the public. (Note that the public can access this information if they enter the staff display mode with "*", so don't use this for anything embarassing!).

Notes: This subfield is not currently used but has been reserved for possible future use.

Note: When items are exported to the INNOPAC system it takes any 949 with a subfield g:

(OCLC:) 949  0 UNLS |g v. 1-2

and translates it into 2 different 949s:

(INNOPAC:) 949 0  UNLS
(INNOPAC:) 949 0  |gv. 1-2

The first will have an INNOPAC label of "MARC" (INNOPAC tag y) and will not be seen by the public but the second one (with subfield g only) will have an INNOPAC label of "LIBRARY HAS" (INNOPAC tag h) and will display to the public.




II. Records Being Cataloged

It is each cataloger's responsibility to enter the correct 949 information in each bibliographic record for each item record to be created, including those without barcodes (such as Special Collections copies, etc.).




III. Records Already in the INNOPAC System

If records are already in the INNOPAC system, volume and/or copy information must be added as new item records attached to bibliographic record.

When in database maintenance mode (looking at a MARC record), you can see the INNOPAC labels for the fields by entering an asterisk (*). To return to the MARC record enter a plus sign (+). You should not input new fields while in the INNOPAC label mode.

After entering asterisk (*) information will display as:

Remember:

Any time volumes or copies are added or deleted, you must:

If a 590 is found in an existing bib. record, it should be deleted and the holdings information entered in the LIBRARY HAS 949 (tag h) as described above.

Note: When editing records with multiple locations (i.e., INNOPAC field "03 LOCATION" = "multi", list the locations in order from most accessible (Book Stacks, Oversize, etc.) to least accesible (Special Collections, Reference, etc.) regardless of the order of the 949s in the record.

Special Case: Accompanying Materials

In some cases a multi-part item consists of a main volume without special volume number and accompanying material (for example, a textbook with accompanying workbook, a book with accompanying videocassette, etc.). In such a case, the main volume will not have a volume number (the 949 will not include a subfield v and the item record will not contain a VOLUME field); the accompanying item(s) will have a volume designator in a subfield v (such as |vWorkbook) and a corresponding VOLUME field in the item record. In such a case, the subfield g in the first 949 and the LIBRARY HAS 949 should use "Basic volume" for the main volume as follows:

If we have a book with accompanying workbook:

Note that Media Resources policies differ somewhat from the above as item specific call numbers are used instead in such cases.
