Books with Media

Introduction

Cataloging of books with disks depends on the content of the disk or disc. Different cataloging rules pertain to floppy disks, CD-ROMs containing software or DVDs and to discs containing sound recordings.

Part I of this procedure applies only to the cataloging of books with any kind of software or computer programs on computer disk (3 1/2 in. or CD-ROM) or DVDs. Part II applies to the cataloging of books with sound recordings on compact disc.

All discs/disks/DVDs will stay in the books, with the exceptions of CD-ROMs with a single user license and of scores with sound discs. CD-ROMs with a single user license will be discarded. If there is a statement on the book that a CD is included, we will add a 590 note in the bibliographic record, "Accompanying single license CD-ROM not retained". Discs that accompany a score will be removed from the score, placed in an appropriate container and processed for the Music Library. If a disc/disk or DVD which accompanies a book comes in a separate container, remove it (and any booklets or inserts) and place it in a self-adhesive disc pocket for processing by student assistants. Empty jewel cases can be recycled by the Student Supervisor.

If a disc contains multi-media, treat it as software.

During pre-processing of books, students will leave all discs/disks or DVDs alone (do not remove from pockets, etc.). The pink "CD or Disk in Book" flag should stay in the book. Books with cassettes, videocasettes, or any type of media other than software, sound discs or DVDs will have the media separated and put into an appropriate container. The container will be barcoded with barcode placement according to the item's respective Library location (see BMS Marking Procedures Manual). Special Collections items do not get barcoded with the exception of videocassettes and DVDs, which will be housed in Media Resources since Special Collections does not have players for these media types. Books with non-software or non-sound recording media will be given to the Special Formats Cataloger.




I. Cataloging Books Accompanied by Software or DVDs

Follow Copy Cataloging Detailed Procedures, with the following exceptions/additions:

  1. Collation: Software or DVD must be added to end of the 300 field with a + ‡e. The size of the disk must be included in parentheses at the end.
  2. Examples:

    Watch out for:

  3. Title variations: If the title on the software differs from the book, add a 500 note, and a 740 02 line with the software title. Add additional 740 02s as necessary (e.g., for acronyms, parts of titles, etc.).

  4. Example:
    245 10 Essentials of human anatomy & physiology / ‡c Elaine N. Marieb.

  5. User Notes: If software installation notes, user guides or other significant information is inserted with the disk, add a 500 note. Often this is the only place this user information appears, rather than in the text.

  6. Examples:
    500     User's guide for accompanying computer disk inserted in disk pocket.
    500     Installation notes for accompanying computer disk inserted in disk pocket.

    Add a note if the software is an exact copy of the text.
    Example:
    500     Accompanying CD-ROM contains copy of the text in Adobe Acrobat format.

  7. System requirements: Add a 538 note for system requirements for the computer disk, or to indicate the format of a DVD.
  8. The requirements are listed in this order:
    1. type of machine
    2. amount of memory
    3. operating system
    4. peripheral devices such as VGA card, CD-ROM drive, printer, etc.
    5. other software.

Also list recommended equipment or software. Make more than one 538 if software runs on different equipment (e.g. both IBM and Macintosh).

Finding the system requirements in the book may be difficult. Look on the software itself, the container that the software originally came in and/or accompanying material with it, the back cover of the book, the introduction, and appendices at the end of the book that discuss using the software. LC now has the policy of only making a minimal note, so it may be necessary to add information to their notes, or add a note if there is none. If there are no system requirements stated, either add a note that says "IBM PC or compatible?" or say that they are not stated.

Examples:
538     System requirements for accompanying computer disk: IBM PC or compatible; 64K; DOS 3.1; color card; 1 floppy disk drive; color monitor recommended.
538     System requirements for accompanying computer disk: Microsoft PowerPoint; DOS/Windows; PC Exchange.
538     System requirements for accompanying computer optical disc: PC-compatible; Windows 95 (upgraded version recommended); Internet access.
538     System requirements for accompanying computer disk: IBM compatible PC; CD-ROM drive.

If system requirements are not readily ascertainable, add a note about the types of data or programs contained on the disk. Contents may be quoted from information in the book or accompanying material. These notes add access not provided by the 538 note.

Examples:
500     Accompanying computer disk "contains data sets for all exercises saved as ASCII, MINITAB, and Microsoft Excel files."
500     "The CD software is written entirely in Java and is designed to run on any Java platform. The CD-ROM contains the Java Runtime Enivironment (JRE) 1.1.7 for Windows 9x/NT and instructions for installation on Windows 9x/NT and Sun Solaris"--P. [224].
500     CD-ROM features full-color versions of the images in the book, along with product demos, sample models and surfaces, and relevant freeware/shareware.
500     Accompanying computer disk contains sample files in Microsoft Word format.

When the subfield |e in the collation for a DVD reads "videodisc", the 538 note should read:
538     Accompanying videodisc is a DVD.
to indicate the disc is not a 12 in. laser disc unless it is a DVD-ROM, in which case the 538 would read:
538    System requirements for accompanying DVD-ROM: DVD-ROM readable device.

II. Cataloging Books With Sound Discs

A sound disc may contain music or spoken word or field recordings. Follow Copy Cataloging Detailed Procedures, with the following exceptions/additions:

  1. Collation: Sound discs must be added to end of the 300 field with a + ‡e. Descriptive information and size must be included in parentheses at the end.

  2. Examples:
    300     xiii, 299 p. : ‡b col. ill. ; ‡c 23 cm. + ‡e 1 sound disc (digital ; 4 3/4 in.)
    300     631 p. : ‡b ill., ports., music ; ‡c 27 cm + ‡e 2 sound discs (digital, stereo. ; 4 3/4 in.)
    300     viii, 125 p. : ‡b ill. ; ‡c 25 cm + ‡e 1 sound disc (digital, mono., stereo. ; 4 3/4 in.)

    If you can't determine whether a sound recording is stereo. or mono., just leave that information out of the collation. Abbreviations for stereophonic (stereo.) and monophonic (mono.) should include a period at the end. Some discs may include both mono. and stereo. recordings. All sound CDs are digital.

    Watch out for:
  3. Title variations: If the title on the disc differs from the book, add a 500 note, and a 740 02 line with the disc title. Add additional 740 02s as necessary (e.g. for acronyms, parts of titles, etc.).

  4. Examples:
    245 14 The international guide to New Age music / ‡c Henk Werkhoven
    500     Title on compact disc: Oibibio, the anthology of New Age music, vol. 1
    740 02 Oibibio

  5. User Notes: If contents or other significant information is inserted with the disc, add a 500 note. Often this is the only place this user information appears, rather than in the text.

  6. Examples:
    500    Each compact disc is accompanied by an insert with contents and program notes.
    500    Program guide for compact disc inserted in pocket.

  7. Descriptive notes: Add descriptive notes about the contents of discs as necessary, the same as you would for any accompanying material. Contents may be quoted from information in the book or accompanying material.

  8. Examples:
    500    Accompanying compact disc includes interviews with musicians.
    500    Accompanying compact disc contains Puccini arias and Mexican danzones.
    500    Accompanying compact disc contains phonetic chart and sample texts read by David N. Klausner.
    500    Accompanying compact disc features songbird concerts and solos of more than 70 North American birds.
    500    Accompanying compact disc contains "more than 20 great blues performances by premier Delta bluesmen who recorded various 'Delta styles' in the late 1920s."
    500     Accompanying compact disc contains 17 choral selections performed by the Treble Chorus of New England, Marie Stultz, artistic director.
Sound discs do not require 538 (system requirements) notes.



Editing 949s:

  1. Add 949s as usual to the bib. record and add the barcode number for the book as usual. Add subfield ‡m (for a Message in the item record) to the end of the first 949 0 line in the bib. record and add message as follows:
  2. For floppy disks the message in the item record should read:
    Remove [number] computer disk(s) from pocket before sensitizing/desensitizing.

    For CD-ROMs (software or sound discs) or DVDs the message in the item record should read:
    Check for [number] of disc(s) in pocket.

    Fill in the number of disks as appropriate. It is not necessary to delete the (s) from the message if there is only one disk.
    Examples:

    Do not add a LIBRARY HAS note to the record.

    If the book is going to the Bindery or to Mending for pam. binding the message in subfield ‡m should read:
    Accompanying disk being held
    Example:
    949 0  UNLM ‡m Accompanying disk being held ‡s b

    Put the disk into a Tyvek sleeve with a window in front, then write the call number on a piece of paper and insert it in the front of the sleeve so the call number shows through the window. Place the disk in call number order in the box labeled "CDs and Disks Waiting for Bindery/Mending Returns". (Additional Tyvek sleeves are available in the box and in the processing area.) The person processing books returned from the Bindery or from Mending will be alerted to the fact that the book is accompanied by a disk by the message in the item record. That person will retrieve the disk, match it with the book, place an adhesive pocket in the back of the book and put the disk in it. The disc may be labeled at this time by the cataloger (see post-cataloging processing procedures below) or forwarded to student assistants for labeling.

    Remember: If five-letter locations codes are used in the item records (949 0s), after the record is downloaded you must update the bibliographic record on INNOPAC by correcting the location codes in the 003 (LOCATION) tag. (e.g., UNLUR).

  3. Count each disc/disk as an additional piece (to be tallied into the Total Piece Count) under the appropriate format on your statistics.
  4. Leave the pink "CD or Disk in Book" flag in the book, so student assistants are alerted to the fact that they need to label the software during post-cataloging processing.

Post-cataloging processing:

  1. If the disk is already in a usable pocket in the book, student assistants will leave it as is. If the pocket is cardboard, or the disk is loose, student assistants will apply a disk pocket with an adhesive backing to the inside back cover of the book and place the disk in it, making sure not to cover any text or graphics on the inside back cover (the pocket may be applied to the blank page nearest to the back cover in this case). Cardboard inserts may be cut out, making sure not to leave sharp edges.
  2. Student assistants will write the call number with permanent fine-point marker on each disc. The call number should be the same as the call number assisgned to the book the disc goes with. If a branch location is included in the call number, it should also go on the disc. Call numbers on CDs or DVDs should be written on the inner ring. The call number on floppy disks may be written wherever there is clear space on the disk label.
  3. The property indentification on all discs is UNLV LIBRARIES (regardless of branch). It should be stamped on labels on floppy disks with a small property stamp, and should be written on the inner ring of CDs or DVDs with a permanent fine-point marker.
  4. All paper inserts with the disc should also be property stamped and have the call number written on them in pencil (students can do this during processing if the cataloger has not already done it).
  5. Disclaimer Labels for books with floppy disks: Student assistants will put the pink label that says
    The UNLV Libraries do not assume liability for damage to files, programs, or hardware caused by viruses on disk(s)
    inside the back cover of the book above the disk if possible, or, if that is not possible, as close to the disk or disks as possible without covering up text, illustrations, glossaries, charts, etc. (the only exception is advertising). Student assistants will also put the yellow label that says
    Remove computer software from pocket before sensitizing/desensitizing
    both on the back cover of book near the barcode and on the upper left corner of the front cover of the book. Cover labels with a clear label protector.
    No disclaimer labels are necessary for books with CD-ROMs or DVDs.
  6. After processing the discs, the pink flags should be removed and returned to MOR for re-use.
