These procedures have been developed to streamline the workflow involving UNLV dissertations. After being microfilmed, they will come from Special Collections to BMS unbound and without an order record for cataloging. Using a template developed in Connexion, staff catalogs and batch adds them to OCLC and the catalog before sending them to bindery. They will return to BMS after binding for barcoding, RFID tagging and clearing bindery status.
Below is the basic dissertation template in Connexion, "x" is used as a place holder in many fields.

The fixed field in template also contains standard values, but cannot be reproduced here. The fixed field codings of note are: type t, encoding level K, language eng, biblographic level m, country xxu, content b, descriptive cataloging form a, type of date (DtSt) r, and dates 2004, 2004. The date in all locations on the template will be updated as needed and staff may customize the template to meet their needs.
If author supplied keywords and advisor's name do not accompany the dissertation, search Proquest for the information. If the author did not supply keywords, remove the 590 field. Many of the departments have locally created authority records in the catalog, these can be referred to when creating the 690 field. Set the item record status to bindery in the 949 field.
Since the call numbers do not follow Library of Congress Classification, they are placed in the 099 field. Call numbers for dissertations, theses, scholarly papers and professional papers are created by following the tables below. The class number is determined by the type being cataloged. Dissertations are produced from doctoral-level degrees, while theses are from master-level degrees. Scholarly and professional papers will state as such on the title paper (eg: A scholarly paper submitted in partial fulfillment for...)
The class number is followed by a departmental cutter from the cutter table. The cutters are derived from the college and department from which the item originates. For example, all materials originating from the College of Business will have a cutter begining with .B8. This will be expanded by the department. Thus a paper from the economics department will have a cutter of .B843. This cutter table will grow as the University grows and new colleges and departments are created. When departments are renamed, the cutter will not be changed. If a department is moved from one college to another, the old cutter will be superseded with a new cutter. All works will use the cutter that reflects the department at the time the work was created. Materials will not be recuttered.
The department cutter is followed by the year the work was produced. Finally, an author cutter is added. All call numbers are unique and written on the title page.
