Level 2 Records


A Level 2 cataloging record is defined by the UNLV Bibliographic and Metadata Services Section as one created and input into OCLC by the Library of Congress according to AACR2 rules, is cataloging-in-publication (CIP), does not have multiple volumes or copies, and not an added volume to one already in the collection. Most of the information in such a record will be correct to start with; however, we do correct discrepancies between the item and record when they appear and fill in missing information. In addition, we check all series statements to ensure that they follow traced forms established or followed by the UNLV Bibliographic and Metadata Services Section.

Cataloging Books Online


1. Go to the BMS backlog shelves and locate the "pull books from here" sign. Load your cart with books and add a post-it to each end of the cart giving the run date or dates for the books included on the cart (this expedites searching for a specific book if a rush request is received).

2. Log on to OCLC and call up record either by ISBN, title, author, or author/title. Double check that each record is indeed Level 2. Check the Fixed Field for "Enc lvl:" (must be "8") and "Desc:" ("a"); check that 040 reads "DLC |c DLC" or "DNLM/DLC |c DLC"; check that 300 does not indicate multiple volumes ("v." or "3 v." etc.), and that the purchase order in the book does not indicate it is an added copy ("A.C.").

Note: If a volume number ("v. 1", "pt. 4", "vol. 7", etc.) is present at the end of the call number (050), refer it to a cataloger.

If the book fails to meet any of these requirements, refer it with its accompanying paperwork to your supervisor.

3. Determine if the book falls into any of the following categories:

Oversize:
35 cm. high for Music Scores (call number prefix M, but not ML or MT) or art books (all call number prefixes beginning with the letter N) including NA, NB, NC, etc.
Anything over 30 cm. wide is oversize.
If the item is for main library stacks and is over 31 cm. high it is oversize.
If the item is oversize, and is for main library, change 049 to UNLO.

Architecure:
Normally items with call numbers beginning with NA are cataloged for the Architecture Library. If in doubt, check the purchase order slip for the location UNLH, for the Architecture Librarian's initials ("JB"), or for "CDF" or "WAPP" under the "Fund" location. If in doubt, consult with the Head BMS Librarian. If the item is destined for the Architecture Library, change the 049 to UNLH.

Music:
Items containing primarily actual music (all Ms and some call numbers beginning with MT) should be referred to the music cataloger.

4. Check the title page for title and author statement 245, and city, publisher and date (if any) 260. Punctuation and order of presentation in the 245 may deviate from the title page, but wording should be retained exactly, including for example the use or absence of the word "by" in the author statement. Note that certain phrases, titles of persons, etc., are normally omitted; consult AACR2 for more detailed information. Check that the first 245 indicator is "1" (if a 1xx is present) or "0" (if no 1xx is present); check that the 2nd 245 indicator is the correct filing indicator ("The"=4, "An"=3, "A"=2). Do not use abbreviations in the 245 unless they appear thus in the item.

If the 245 |a (main title) includes an ampersand (&), be sure a 246 and first indicator of "3" is included in the record which gives the same main title but using the word "and" in place of the ampersand (&); if necessary add such a 246. It is not necessary to add a 246 with an ampersand if the main title includes the word "and". Use a 246 in cases where a 740 would have been made accompanying a 500 note; for example, "Spine title:", "Cover title:".

5. Check that any edition statement appears correctly in the 250 field. If no edition statement appears on/in the book, any 250 present should be deleted (for example, if the copy in hand is a later printing than that cataloged by LC, the "first edition" statement may not appear in subsequent printings). Use AACR2 abbreviations when available.

6. If a series statement is present on the item and/or the record, follow the procedures described in Series Procedures.

7. Check the reverse of the title page for date(s) 260 |c, ISBN 020, and LCCN 010. Non- copyright (publication) date takes precedence over copyright date if both are the same, otherwise give both if present (publication, copyright). Precede copyright date with "c" (for example, c1980). The call number 050 date should agree with the 260 |c date (the later date if more than one). If necessary, copy the call number in the 050 into the 090, correcting the 090's date in the process (do not alter the 050).

Exception: If a 111 is present (conference main entry) the call number date should agree with that in the 111, even if different from the 260 |c and Fixed Field "Dates:".

Exception: Certain call numbers (especially in the Js and Ks) contain only a date after the class number (no Cutter number) or a date followed by a Cutter number. In such cases, the date refers to the subject of the item, not to the date of publication. Check such call numbers with a librarian before modifying.

Examples:
050 0 JK526 |b 1960 (no Cutter number)
           (subject is presidential election of 1960)
050 0 JK2313 1924 |b .A5 (Cutter number follows date)
           (subject is Democratic National Convention of 1924)

8. Check the number of preliminary (Roman numeral) pages 300 |a; flip to the back of the book and check for total pages 300 |a, presence of index(es) and bibliography(-ies) 504/500. If the book is not paged, use "1 v. (unpaged)". If more than three pagings are used (i.e., ix, 465, 23, 81 p.) use "1 v. (var. pagings)". Use only the following notes for bibliographies/bibliographical references/indexes: If a single main bibliography is present, add the page numbering after the words "bibliographical references" as follows: Do not use such terms as "bibliography", "bibliographical footnotes", "notes", etc.

Note that a 504 must contain "bibliographical references"; if only an index is present use 500.

9. Leaf through the book checking for unusual pagings, unnumbered plates, and illustrations 300. Plates are counted only if they fall within a numbered sequence of pages or between two numbered sequences. If all plates are single-sided, count each one as 1 leaf, otherwise count pages (ignore blank sides). When counting pagination, record only numbered pages, unless a note or bibliography statement refers specifically to page number (in brackets) of an unnumbered page. In 300 |b if illustrations are present use "ill." If one of the types of illustrations below is predominant, use "ill.," followed by the predominant type. If all illustrations are of one type only, use only the abbreviation for that type, without "ill." If more than one type of illustration is predominant, use only "ill.". Only the following categories of illustrations should appear:


ill. (mixed or general illustrations)
map(s)  
port(s). (portraits; reasonably formal)
plans (for actually building things; not floor plans of museums, etc.)
music (complete or extensive items, not just a scattered music example or two)
facsim(s). (facsimiles; usually referring to reproductions of handwriting or music manuscripts, not reproductions of posters, etc.)
geneal. table(s) (genealogical tables; family trees)
form(s) (only when form is full-sized and actually usable as is, not reduced reproductions or filled-out examples)


Examples:
50 p. : |b ill. ; |c 25 cm. (Various types of illustrations, no one predominating)
50 p. : |b ill. ; |c 25 cm. (Predominantly maps and portraits)
50 p. : |b ill., ports. ; |c 25 cm. (Maps, portraits, and miscellaneous illustrations, with portraits predominating)
50 p. : |b ports. ; |c 25 cm. (Only portraits present)

If the entire book or most of the book consists of illustrations (i.e., little or no text) use "all ill." or "chiefly ill." unless all of the illustrations are of one type, in which case use "all ports.", "chiefly maps," etc. as appropriate.

If a given category of illustration is entirely in color, use "col." in front of the category; if most or some are in color follow the category with "(chiefly col.)" or "(some col.)" as appropriate.

Examples:

10. Check for subject headings (6xx fields) with a second indicator other than 0 (LC) or 2 (National Library of Medicine), and delete them. Delete uncontrolled subject headings (653). If this leaves the record without any 6xx fields with a second indicator of 0, refer the book and record to a cataloger for assignment of subject headings. Keep National Library of Medicine subject headings with a first indicator 1 or 2 (which indicates whether it is a primary or secondary subject heading).

11. If a 130 or 240 is present in the record, change it to a 730 01 If:

  1. It includes a subfield L (language), and
  2. It does not contain a generic term such as "Works", "Selections", "Plays", etc. If a 130 or 240 does not meet both of these conditions, leave it as is. If you change a 130 to a 730, change the first indicator of the 245 to zero.

12. Use a 246 in cases where a 740 would have been made accompanying a 500 note; for example, "Spine title:", "Cover title:", cases where a title contains an ampersand or numbering and an alternate form of the title needs to be included, etc. OCLC practice is to use only a 246 to generate both the note and the added title.

13. If the Fixed Field code for "Indx:" is "1" (one), add an index note as follows (if one is not already present):
  1. If a 504 is present reading "Includes bibliographical references" (with or without paging), add the words "and index."
  2. If a 504 is present reading "Bibliography: p. [paging]", or if no 504 is present, add a 500 note reading "Includes index." Do not check the book to verify that an index is present or to determine if more than one is present.

14. Verify the OCLC record by checking:
  1. Fixed Field. Be sure the following subfields are consistent with their corresponding fields later in the record. See the "Fixed Field Reference Guide" and "Capitalization 'Cheat Sheet'" and "MARC Formats for Bibliographic Data--Field 008" for detailed information.


  2. Illus: 300 |b Ctry: 260 |a Dat tp: 260 |c Indx: 500/504 Cont: 504 Dates: 260 |c and 050 |b

  3. Check for and correct obvious typographical errors and incorrect indicators.

15. Refer to Physical Processing by Staff to determine what processing, if any, is required.
